3 Steps to Erasmus+ Youth Exchange Projects Part-2


Hello friends, today we will talk about the Project process, which is the 2nd part of Erasmus + Youth Exchange projects in 3 steps. Your project process actually starts from the moment you are accepted to the project.


We can divide the content of your project process into several parts; Analysing the Information Package, Visa process, Planning the Journey,Culture night task distribution, Conducting preliminary research.



Analysing the Information Package:

In the information packages of the projects, the city where the project will be and the closest airports to that city, as well as information about accommodation in the city and how to reach the accomodation are found in infopack. At the same time, you can see the countries that are partners of the project and you can access the travel allowance that will be reimbursed to you at the end of your journey from the information package. At the same time, if you are going to get a visa, you can access the visa budget from the information package.


Visa Process:

In projects with a visa budget, if you are a burgundy passport holder, you will be reimbursed when you pay the visa application from your own pocket before the project and then invoice and submit it to the host organisation. At the same time, do not forget to ask for an Invitation Letter from the host organisation. The invitation letter has a facilitating effect on your visa process.


Planning the Journey :

The upper limit of the journey is calculated by the km between the city where your sending association is located and the city where the host organisation is located. This article varies from sending organisation to sending organisation, but we, as Cosmos Youth Association, contact you and other participants in the projects we are sending and establish a common whatsapp group, plan your journey in a healthy and risk-free way before the project, and offer you travel options by trying not to exceed your travel budget.


2023 Erasmus+ travel reimbursement upper limits are as follows:

for 10-99 km 20€ per participant

for 100-499 km 180€ per participant

for 500-1999 km 275€ per participant

for 2000-2999 km 360€ per participant

for 3000-3999 km 530€ per participant

for 4000-7999 km 820€ per participant

for 8000 km and more 1100€ per participant



Culture Night Task Distribution:

Culture Nights are a must for every Youth Exchange project. Culture nights are the nights where you introduce the food and drinks specific to your country, perform your cultural dances together, make small presentations about your country and tease the participants with Kahoot games. Before setting off for the project, the food and drinks you need to provide from your country are planned and distributed to participants equally before the journey.


Conducting Preliminary Research:

Preliminary researches do not take place in every project and may vary from project to project. For example, before a youth exchange project on digitalisation, we participants were asked to compile examples of digitalisation in our own countries and conduct a preliminary research before the project.
