Cosmos Youth Participated in the Advance Planning Visit (APV) in Toulon, France

Last month, Cosmos Youth participated in the Advance Planning Visit (APV) for an Erasmus+ Youth Exchange project, hosted in Toulon, France. Representing our organisation, Furkan Hergül, President of Cosmos Youth, and Tuğrul Kutulay Alıcı attended the meeting alongside representatives of the partner organisations.

The Advance Planning Visit marked an important milestone in the preparation process of the upcoming Youth Exchange. Bringing together project coordinators and partner organisations before the implementation phase, the APV aimed to ensure that every aspect of the project was carefully planned and coordinated, creating the best possible learning environment for all participants.

Throughout the meeting, partners worked collaboratively to review and finalise the project timetable, educational programme, workshop structure, daily activities, and non-formal learning methods. The discussions focused on ensuring that the programme would meet its learning objectives while providing a safe, inclusive, and engaging experience for all young participants.

Special attention was given to participant management, communication between partner organisations, logistical arrangements, accommodation, transportation, venue preparation, and risk prevention measures. The partners also reviewed health and safety procedures, emergency protocols, and safeguarding responsibilities to ensure the project would be implemented according to Erasmus+ quality standards.

The APV also provided an opportunity to clarify the roles and responsibilities of each partner organisation throughout the project lifecycle. Topics such as participant preparation, dissemination activities, visibility, reporting obligations, financial management, and administrative procedures were discussed in detail, allowing all partners to establish a common understanding before the Youth Exchange begins.

Beyond the technical planning sessions, the meeting created a valuable space for networking and strengthening international cooperation. Representatives exchanged experiences from previous Erasmus+ projects, shared examples of good practices in youth work and non-formal education, and explored ideas for future partnerships and collaborative initiatives.

By participating in this preparation meeting, Cosmos Youth once again demonstrated its commitment to delivering high-quality international mobility projects and meaningful learning opportunities for young people. We believe that strong preparation and close cooperation among partners are essential for creating successful, impactful, and well-organised Erasmus+ projects.
